Q.How do I get started?
A. To begin using CurrentTrack, call 1.877.280.2392.
Q.Do you require a long-term contract?

Q.How long does it take to set up our new site?
A. After receiving your signed License Agreement and basic set-up information, we'll turn over your new site within 2 business days.
Q.How do I know if I need an agency management system?
A. There are several questions you can ask yourself that will help determine whether you need a system. First, is your billing efficient? What percentage of employee hours are you billing out to your clients? Secondly, is your agency deadline- or budget-driven? If deadline-driven, you may be losing money. Next, how much time do you spend tracking down information? When it can be found in one central place and is accessible to everyone in your agency, you save both time and money. You should also consider your clients when determining if you need a system. Are you missing deadlines? Are you consistently over budget? Lastly, how's the information in your agency organized? Can you quickly cross-reference the details of a job? Do you have to track down the Accounting Manager to see if you're over budget? If you answered "yes" to one or more of these questions, chances are you're ready for an agency management system.
Q.What should I look for in an agency management system?
A. The ideal system will integrate electronic job jackets, estimating, traffic scheduling, progress documents (e.g. Change Orders, Progress Reports, etc.), time keeping, client feedback, purchases, and other key financial information. CurrentTrack not only integrates these features, but also allows you to access them from anywhere, at any time via the Internet.
Q.Won't switching from my existing system be time consuming?
A. We understand you have a business to run. You don't have a week or more to dedicate to tedious data entry. We recommend taking the very next job that comes through the door and entering it into CurrentTrack. Then, gradually phase out your existing system. The move will be transparent to your clients and allow you to continue running your business.
Q.Can CurrentTrack be hosted on our server?
A. CurrentTrack cannot be mirrored on your server because it's integrated with specific hardware to give end-users the most efficient, flexible and stable experience possible. Though we've discussed the possibility of CurrentTrack being sold as a server or platform solution, there are no immediate plans for such a product.
Q.Is my data secure?
A. In the summer of 2011, we moved to a cloud-based host -- Softlayer. We backup your CurrentTrack data on a nightly basis, both at Softlayer and through an encrypted connection to our offices in Louisville, KY. Should we lose our Softlayer data center due to a natural disaster, we'll have a redundant server up in our office in short order. It's important to note that we do not back up assets attached to CurrentTrack via the [job] Attachments Folder. Our backup and redundancy is for your system data only -- information about your time, expenses and projects.
Q.What is the implementation process for CurrentTrack?
A. An initial training session is held between your System Administrator(s) and a member of our customer service team; ~1 hr. During this call, the Set-up Information that's been entered in your new site is reviewed (e.g. Employees, Work Codes, Permissions, et al.). S(he) is then given a bit of "homework," ensuring the site is precisely how it should be before bringing the remainder of your team on board; ~2.5 hrs. required.
Within 1-2 days thereafter, a conference call is held with the Account Service team, focusing on features specific to their role; ~1 hr. Next, similar sessions are held with creative, media and accounting teams; ~1 hr. Each employee is given a Training Sheet (PDF) outlining only those features they'll use on a daily basis, ensuring no one is overwhelmed by the system. The key is exposing employees to topmost features and then, over time, moving further into the system.
Once employees have undergone initial training sessions, they're off and running! They'll continue to receive a series of helpful e-mails, over the following 2-3 months (about one a week) that highlight additional features available to them, TIPs for using CurrentTrack, etc. Our customer service team is also available to lead additional training calls (e.g. existing employees who need more guidance and new hires who need initial training).
